Quick Pennsic Update

Not much new to say this month…

  • Online (paid) registration ends June 19th – this gives you 98 days to pre-reg (as of 3/13). I only have 16 pre-regs so far, so make sure you give yourself enough time to do it!

 

  • Rosie is our new camp exchequer! Camp fees will go to her.  Please only cash or check at this time, we are not set up for online payments at the moment.  If you write a check, it needs to be made out to her full name – Rosemarie O’Connell.

 

 

  • We will be organizing another camp meeting shortly – stay tuned!

Camp Meeting Notes 2/3/19

Greetings!

We had a fun and productive camp meeting yesterday to kick off the year.  Here are the highlights…
– Rosie will be our new camp exchequer!  Camp fees will remain the same this year ($60/adult, $20/child age 6-13, free/child 5 and under), and can be given to Rosie in cash or check form for now.  We are looking into the best way to receive digital payments for camp fees, so stay tuned on that!
– John Patrick and Rosie will once again order firewood for us if they get a spot on staff this year.  This was a HUGE help last year as our firewood was ready to go for us once we got on site.
– We will once again be hosting the Known World Players rehearsal on middle Saturday (August 3) at 5pm.
– Period games and music night will *tentatively* be held on middle Sunday, pending confirmation of the date for the EK Bardic Expo)
– EK Court has been confirmed for War Week Tuesday (per Facebook, so not necessarily set in stone)
– As a heads up to anyone that knew him, Lord Karl Drakken, the gentleman who camped on our corner in Haus Drakken’s Lager, passed away this fall after suffering from several health issues.  Drakken Lager does plan on coming back this year.
– Mael Eoin is interested in organizing a camp cooking fire (separate from the main camp fire).  This would involve donating space and money for firewood.  As this is still in the beginning planning stages, please contact Mael Eoin if this is something you are interested in.
Three big topics that came up, which will require further discussion…
CHARGING STATION
– The charging station last year was unorganized and often tripped the circuit breakers due to too many phones being plugged in, or to the station overheating.  This year there will only be ONE surge protector in the charging station.
– The use of this charging station is a PRIVILEGE given to us by the Cooper’s Lake staff as it takes up significant space on our block.  If we abuse the privilege, they will take it away from us.
– We will create a list of rules for the charging station that will be posted on the box as well as in common space.  Possible ideas include phones requiring named labels and if they are not labeled, they can be unplugged; looking into making a charging schedule; sign-in sheet?
– If you have a CPAP or other medical device that needs to be charged, it MUST go through disability.  If Disability Services finds an unregistered device plugged into our outlet, they will unplug it.  These devices also were tripping the breakers last year by pulling too much power.
– Creation of camp chore as Charging Station Warden?  someone to check on charged/unlabeled phones, make sure station isn’t overheated or breaker tripped
BREAKDOWN WEEKEND TRASH
– This was a huge problem last year as three people were left to take a lot of trash to the dumpsters on the last Sunday.
– Land office drives around on Sunday and takes pictures of blocks that have trash left on them – we could be kicked off the block if there is trash left
– If there is stuff you don’t want anymore, DO NOT LEAVE IT IN CAMP because “Someone might want it.”  Put it *next to* the dumpsters on Friday or Saturday with a sign that says “Free to a good home” and I guarantee someone will take it.  Leaving it in camp only makes more of a mess for the last people on site to clean up
– If you need help taking trash to the dumpster, ASK SOMEONE.  A lot of us have wagons and would be glad to help take trash.  On the flip side of this, if someone asks you for help, please try to help if you are able.  We all benefit from working together to keep our block clean
– Creation of camp chore of Groundskeeper?  Significant cut on camp fees; someone who stays till the end to check the land; each person would check in with Groundskeeper before leaving site to ensure their space is trash-free?
– Someone take time-stamped picture of our block Saturday night?  Is it possible people from other camps are dumping their stuff on our land on Sunday?  Too much trash left on Sunday to be accounted for by the people who stayed on site Saturday night
CAMP WISH LIST
– A few things we could use to improve camp, things that have gotten old, etc
Canvas for shower walls – Sunforger can be purchased for $225, Chana can sew it
More tiki torches around camp – metal ones?
New chandeliers for common tent – wooden rings?
New camp wagon that fits on truck ramp (2’2″ width) to carry portable holes, etc
New shovels
Misting hose
We will have a camp financial meeting to talk about these possible purchases within the next month or two.
I have spoken to most of you to confirm if you’re coming back to camp with us this year – if you have not gotten in touch with me about it, please do so.  After I confirm with you, you can go ahead and pre-register on the Cooper’s Lake website.  We are listed as Barony Bhakail.
I have revamped the camp form, and I would request that I get a completed one from EVERYONE this year.  We need to make sure we have the correct information, so I won’t be able to accept “My info is the same as last year.”  I apologize in advance for the inconvenience, but I promise it’ll make setup go that much easier.  Link to the new camp form is here: https://docs.google.com/document/d/1JfLHb1sDHcHcSuDvmzQngYgwAfPzCb75mSVxsxEFx54/edit?usp=sharing and you can either email it to me or give me a hard copy.  Please read through the first two pages for important information.

New business

    • Should Barony cover cost for baronial meeting?

  • Judith the Confused – husband passed on Jan 2nd, memorial Feb 2nd at Commodore Barry Club from 2 pm until 6 pm if you would like to go

 

  • Curia at Birka – lots of topics, one of which is a change that would say any time Royals hold court at a local event, EK gets a 20% cut of profit
    • If anyone has opinions to voice, please submit them to Muin or Rowen
    • Kingdom is losing money, they need to raise money somehow
    • Would make budgeting local events harder because local groups would lose profit

    • As last year, accepting people who camped with us last year first, then open to everyone; adding people to wait list already
    • We need a new camp exchequer – once funds are transferred, we will take a closer look at how much money we have, what we spend it on, if we need to change camp fees

Salamander Pursuivant’s Report, 2019-01

His Excellency’s last court was held at the Bhakail Yule Revel on Saturday, December 8th. His Excellency’s next court will be held on January 26th at our tavern event, known this year as “At the Sign of the Cat and Dragon”. Anyone interested in producing scrolls for future Baronial Courts is welcome to contact me.

If you have submitted an item to the College for review via another consulting herald, please let me know what name you are submitting it under so that the progress of your items can be included on future versions of this report.

From the Eastern Internal Letter of Intent (ILoI) – This letter includes all new names and devices that have been submitted to the Eastern College of Heralds in the last month. It takes about two months for items to reach the next stage, the Eastern Letter of Decision.

December 2018:

— sekh Neswennefer has submitted a new name (Nychoas Revell) and a new badge ((Fieldless) On a sun Or, an ankh sable).

From the Eastern Letter of Decision (LoD) – This letter reports what items will be forwarded to Laurel to be decided on and what will be returned to the submitter for more work. It takes about six more months for submissions to reach the next stage, the Laurel Letter of Acceptances and Returns.

December 2018 Business Meeting Notes

New Business

  •  Tavern coming up; please pre-reg; menu is going to be great
    • Black Boot Brewers are going to brew for us; Tavern-exclusive beer!
    • If we get 50 attendees, Mael Eoin will eat the recipe for the exclusive beer
    • if anyone is interested in shadowing Chana or Maryna for Tavern to run event next year, please reach out

 

  • Bids are due for spring crown tourney either 12/15 or 1/1, for Ozurr and Fortune, typically held last weekend of April or 1st weekend of May
    • Bhakail has not put in a bid in 2 years so it’s about our time to do so
    • Does anyone have interest in putting in a bid?  Site is a daycamp, already set, dry site, big pavilion, picnic tables
    • No objections; Barony is in favor of putting in bid; asking neighbors if they want to help (Buckland, Hartshornedale)

 

  • Martyn would like to go back to being chamberlaine until June 2020; seconded by Rowen; approved by vote

 

  • Need to start looking at bids for Yule for 2019 (date already penciled in), and commons for 2019

 

  • Chana will be camp master again for Pennsic

 

Old Business

  • Yule –
    • HUGE thank you to Gisela
    • 183 total attendees, 124 feast; both numbers are under break-even number, but all came in under budget; should have made some money
    • Cleaning crew was super helpful; final site walkthrough at midnight; started behind because site was not cleaned, but we got everything ready
    • Thanks to Art and Alana and Alesia, all the platters and almost all utensils and pots cleaned; Thank you to Alesia and Chana as deputies; thanks to John Marshall, Jibril, entire crew for work in kitchens; Gisela and staff fantastic getting everyone checked in; Elanora fantastic job with feast seating chart; thanks to outgoing champions Girsel and Muin, people in the Ratskeller crew; Elizabet Marshall, Mari Clock van Horn for helping with feast and organizing servers; Sabine organized musical activities; Lord Stoldo was Martyn’s arms and legs for large part of the week, packed the van, moving stuff around; door warden, space coordinator, organized servers, cleaning crew all very helpful things

 

  • Zip codes that were submitted – still waiting to hear back from Kingdom; third party said it will probably go through and notice might be late-coming

 

  • Meeting space for Baronial business meetings – tentative approval and putting together a contract for us at the church on Lawrence road in Broomall – $65/night
    • Paying $65/night at Stage One and not making that much money; we will have fewer people at new site because no fighters; currently only scheduled for business meetings, no place scheduled for social; Barony has underwritten cost of meeting space before but this is more expensive
    • Libraries are a possibility but they close earlier than we would be done with our meetings; Martyn can talk to some of the librarians
    • Could vote to change meeting days to weekend afternoons if we can’t find a place
    • January meeting location is already set for January 8th- 475 Lawrence RD, Broomall PA – Marple Christian Church
    • Debating rec centers, libraries, distance is a problem

    • West Kingdom has been hit hard by wild fires, we plan on collecting  donations of well cared for garb at Yule to send to them.

  • We have been contacted by representatives of The Mill at Anselma (a national historic site) who have offered us use of their grounds for events.  The site is in the Shire of Hartshorn -dale.

Old Business

  • Plans for participating in Media’s Halloween Parade are dead
  • Yule event page has been updated with registration, A&S Championship, and Brewing Championship info.  Volunteers are still needed for Gate Guard.
  • Tavern event page has been updated with registration, Bardic Championship, and Gaming Championship info.  Volunteers are still needed for Gate Guard.

New Business

  • The Yahoo Group pages will be moving over to Google
  • There was discussion about keeping the Bhakail Facebook Page “unofficial” or making it “official” as well as the possible eventuality of a Baronial Social Media Officer.
  • We are still looking for another place to hold the weekly Social and the Business Meetings, but until we can they will be held at Pinocchios
  • The Barony ok’d the Bailiwicks request for additional Zip Codes.  The matter will be passed onto Kingdom for final approval.
  • The Baronial Chamberlin is looking for a replacement please email chamberlain@bhakail.eastkingdom.org if you’re interested
  • Another set of 10 Baronial tabards have been requested, with the possibility of adding some kind of Southern Army identifier.

Chatelaine Report – October 2018

Things continue apace for our Bhakaili newcomers, who have been enjoying learning where they fit into our Society.

I would appreciate any help people might be willing to give in making new Gold Key garb from the funds Mistress Philadelphia found for us.  I’m hoping to build up our stock of basic garments, so if anyone would like to volunteer to make some tunics, dresses, pants, hoods, etc, please let me know.  I would also appreciate any donations of belts or pouches, as our current Gold Key stock has none of these items.

As winter looms closer, the Black Boot Company will be hosting open activity days for newcomers to meet and learn more about the Society as a whole.
