June 2022 Business Meeting Minutes

Barony of Bhakail Meeting: June 14, 2022

Old Business

Waking of the Salamander

Event Steward Angela Mori reported that WotS was a nice event, with a good but small turnout. There was music, newcomers, a lot of storytelling, a birthday, and a very large dog that walked through camp. The venue was good, with some foot traffic to bring in passers-by. There have been discussions of having a similar event next year, on a different weekend with two nights of camping rather than three. Under consideration is having this be a cooking event and possibly with fighting. Potential dates for 2023 that are being tentatively explored include May 12-13 and May 19-20, which do not appear to conflict with other events. The site will accommodate up to 100 people for camping, and the pavilions will accommodate additional day trippers.

Letters of intent for Exchequer

The Senechal has not yet received any letters of intent, and will continue advertising. June 2023 is the hard deadline by which there must be a replacement.

Pennsic 

Bhakail Camp Master Lady Chana Freidl the Maker reported that the Mayor put out his last Pennsic update recently to announce with much joy that Pennsic will indeed happen. Pre-registration ends on June 16th for online prepaid (which secures land for your camp) so if you have not pre-regged yet, you need to do it. Please also remember to pay your camp fees. Listen to your camp masters; they are trying to make Pennsic great.

River Wars

Mikael melrakki is the new Bhakail liaison to the planning committee. No updates on event planning to report.

Commons

An event steward is needed. In a pinch Angela Mori will act as steward but prefers that someone else steps forward. The space is already reserved.

An event steward is needed.

New Business

New Kingdom rules regarding home owners and local practices

At the April 2022 SCA Board of Directors meeting, a new policy was approved on the use of property owned by SCA members for events. Alesia and Mikael have been in contact with the East Kingdom Seneschal to clarify how this policy relates to local practices. In part the new policy states: 

“If the member-owned property is being used strictly for local meetings or practices, and no monetary or other consideration is being given by the SCA to the site owner, the site owner may oversee the meeting or practice if they hold a local office whose duties would normally include such oversight, such as local branch seneschal or marshal. A “local meeting or practice” cannot be advertised outside the local area, cannot appear in the kingdom newsletter or on the kingdom calendar unless the kingdom customarily lists all such local meetings or practices, and cannot be a multi-day event.”

Further clarification will be requested on how this policy may impact TW practices hosted by Mikael at his home, since technically Mikael is a regional TW officer, not a local officer.

Coronet’s Report – Baron Muin maqq Minain

To the Peoples of the Barony of Bhakail, Our Allies, and Friends;

June is now well and truly upon us, as evidenced by the sheer volume of sweat being produced domestically. 

As We greatly enjoyed the Waking of the Salamander last month, I feel it is incumbent upon the Barony to continue to hold this event. It was a delightfully low key event, and We were able to both enjoy the company of well known companions, as so too did we meet new people, and welcome them into Our Company. 

Our next lookout is this coming Commons event, and we are greatly anticipating the contests to be held at that time. 

We are still working on a basket of favors and treats for our sister Barony to the North, L’lle du Dragon Dormant. I hope many will contribute. 

In this spirit, let us now contemplate the wisdom of the Ancient Seafaring Peoples of Iceland, and one of their traditional Airs to see us through the sweat labors that lie ahead!

Seneschal’s Report – Honorable Lady Alesia de Maris of Ravenstar 

The Kingdom continues to open up, the event calendar seems to get a new event listing every day.  Please keep in mind the mask requirement for indoor events is still in place and it applies to pavilions and pop-ups with 3 or 4 sides at outdoor events as well.

Pennsic is happening and many of us are looking forward to attending. At this time there is still a mask mandate in Ǽthelmearc, masks must be worn indoors. Merchants can decide if masks must be worn in their booths, please be courteous and follow their requirements.

Waking of the Salamander was a very relaxed and fun event. Live music and so many stories. Really looking forward to doing it again next year.

Tonight, I step down as Seneschal. Due to the pandemic, it has been a different journey than I expected with more challenges than I ever imagined. Congratulations to my successor, I know the Barony is in good hands.

Information keeps flowing between the Kingdom, the Barony’s FB, and the Barony’s email list, including things like event announcements, retainers needed for Her Highness, awards received by Barony folks, and panels on A&S documentation.

From the Eastern Internal Letter of Intent (ILoI) – This letter includes all new names and devices that have been submitted to the Eastern College of Heralds in the last month. It takes about two months for items to reach the next stage, the Eastern Letter of Decision.

June 2022:

—  I did not see any submissions which I recognized as belonging to members or friends of the Barony.

From the Eastern Letter of Intent (LoI) – This letter reports what items will be forwarded to Laurel to be decided on and what will be returned to the submitter for more work. It takes about six more months for submissions to reach the next stage, the Laurel Letter of Acceptances and Returns.

May 2022:

—  Finnólfr Hrafnsson’s new name (Finnólfr Hrafnsson) and new device (Or, a raven rising wings displayed regardant sable within a bordure parted bordurewise wavy sable and Or) has been forwarded on to Laurel.

—  Meadhbh inghean Eoin’s new name (Meadhbh inghean Eoin) and new device (Sable, two wolves sejant addorsed and in base a crescent pendant argent) has been forwarded on to Laurel.

From the Laurel Letter of Acceptances and Returns (LoAR) – This letter says what items have been accepted by SCA’s College of Arms and what has been returned to the submitter unregistered.

Practices continue, although one had to be cancelled after a COVID exposure. Other than that things seems to be back on track. The technical issues with the baronial email address for rapier have been resolved.

Archery & Thrown Weapons Marshals – The Honorable Lord Mikael melrakki reporting

Practices continue on Sundays. Ellyn Grene is now an archery marshal so we should be able to have archery practices regularly through the summer.

Pennsic is coming.  Check your authorizations. Authorizations must be submitted to the Kingdom MoL by June 26th to be guaranteed to have the paperwork processed by Pennsic.

I am continuing to visit events to get stories. I attended Earl Horic Memorial Sovereign and Consort’s Championship of Arms and I will be attending the demo in Dover DE. The cookbook was printed on a dot-matrix printer, the scanned is hard to read and It will take me a little longer to retype it.

Minister of Arts & Sciences – Lady Scolastica Capellaria

At the weekly socials members of the barony have worked on leatherworking, garb making, fiber arts, cooking, apothecary and participated in bardic song and dance. 

Lady Angela Mori and Eleanora Tylemaker continue to host arts and science zoom meetings on Thursday evenings from 6-9pm.

Hello, the Blessèd Barony of Bhakail, and Our Neighbors, Friends, and Allies!

The year has turned, and while we real from such treachery, onward We must forge regardless. Plans for new events are sprinkled throughout this fair Kingdom, like the warm droplets of New Spring Rain, looking to raise the flowers of Forest and Field, as well as the crops, to which we will come to reap, harvest, and finely grind! And let none say that any can grind as finely as those known as Bhakailis!!

Seneschal’s Report – Honorable Lady Alesia de Maris of Ravenstar

On March 1st, the Kingdom lifted the mask requirement for outdoor gatherings including martial activities. If people gather within a pavilion, tent or pop-up that has three or four walls, they must wear a mask. Masks are still required for indoor events, and you must provide proof of vaccination or a negative Covid test taken within 72 hours of the event. If local requirements are more restrictive than the Kingdom requirements, we must follow the local restrictions. There are currently no restrictions on the size of gatherings and food may be served (with the least amount of contact). We will continue to collect contact tracing information. The restrictions will be revisited at the beginning of April. Please continue to take all the necessary precautions. Everything was done correctly at Aisles of Marche on March 5th and a message was sent this morning that there was a potential exposure at the event.

I know it seems like we are going around in circles with Covid, but things are getting better. With the warmer weather coming there will be more outdoor events, the calendar is already starting to fill up. Soon we should be able to gather without masks and once again be part of our society.

Exchequer Report – Mistress Philadelphia Brown

The Barony raised $177.58 from Yule. Many thanks to the cooks and the event staff for being careful with expenses, while still producing a safe, fun, and lovely event under very difficult circumstances.

The Council of the Exchequer recommends the budget for Waking of the Salamander.

The Barony is currently penciled in at the German Society for Yule on Saturday, Dec. 10, 2022 and for Tavern on Saturday, Jan. 28, 2023. The German Society’s calendar is filling up, so if we want to hold Yule there in December 2022, we need to make the decision sooner rather than later. With the city no longer offering free street parking on December Saturdays, the site is less attractive than in past years and the Yule event steward would need to investigate the local parking options, if we’re holding Yule there in nine months. I don’t know of a better site which is available for that day, though.

The German Society has penciled in the last Saturday of January 2023 for Tavern. Tavern is a smaller event than Yule, so the parking is not an issue.

Both the Knight Marshal and Deputy Knight Marshal, the Honorable Lord Bari of Anglesea, are unable to run practices at this time. Practice continues at the Royer-Greaves School and is currently being run by Hartshorn-dale. Check out the Bhakail heavy weapons Facebook page for details.

Rapier Marshal’s Report – Don Melchior Kriebel

Rapier practice continues, the number of participants is rising. The church where practice takes place is being sold to the daycare that uses the site during the day. The sale is going slowly and it isn’t clear what will happen to rapier practice.

Thrown Weapons Marshal – The Honorable Lord Mikael melrakki

There will be a site prep day on Sunday April 3rd. There won’t be as much clean up to do as there was last year. Archery and Thrown Weapons practices will begin soon after the site is cleaned up and repairs are made to the targets.

Bailiwick of Ivyeinrust – Honorable Lady Livia Petralia

Theleme has moved to March 2023.

New business

  • Chronicler – We have two candidates for chronicler, Brandr Stillingr and Ellyn Grene. After some discussion they agreed to be co-chroniclers. A vote of confidence confirmed them to the office. We look forward to this new partnership.
  • Boy Scout demo – Hartshorn-dale received a request to run a demo for a Boy Scout troop in June and they asked Bhakail for help. The request was during the week, and we were unable to get enough people, between Hartshorn-dale and Bhakail, who could attend.
  • Marple Library demo – Alesia was contacted by the library for help with their summer program, Oceans of Possibilities. This is about historical seafaring, so they are looking for assistance with Norse seafarers and pirates. They would also like to do another demo at the end of the summer with an emphasis on seafaring. Alesia has offered to run the demo. A suggestion was made to provide research and to contact Captain Elias Gedney who has a laurel for his research in seafaring.
  • 4H Center Demo in Hartshorn-dale – Hello the Barony! Our neighbors in the fine Shire of Hartshorn-Dale seek help for a multi-day demo during Pennsic! Located at the Montgomery County 4H Center in Collegeville, PA, where Nova Schola was held this past weekend, the Shire is holding demos on August 11th-13th (Thursday through Saturday) as part of the 4H Center’s yearly fair, and is a very popular event! If you are interested in participating, or in hearing more information as it becomes available, please email HHD’s Chatelaine, Lord Jakob Agnarsson, at chatelaine@hartshorn-dale.eastkingdom.org.
  • Commons – After some discussion it was decided to move Commons from August to September 18th. Lady Angela has agreed to be the event steward. We will hold another plague sale at Commons.

Old business

  • Tavern – There are only a few spaces left. Plans are going well.
  • Waking of the Salamander– A vote was held and the proposal for this event was approved. Caer Adamant is considering moving their event from Saturday May 28th to Sunday May 29th so they can attend our event on Saturday.
  • Pennsic – Things are looking good that Pennsic will be happening this year. Now is a good time to take out your tents and set them up. Make repairs and refresh your waterproofing now before camping season begins.
  • Yule – The German Society is holding a reservation for December, but their calendar is filling up fast. As Philadelphia no longer has free parking on Saturday’s parking has become an issue when using the site for Yule. We have started to look for a new site but many of them are already booked through next winter due to so many weddings having been postponed during the pandemic.
  • Exchequer – We are still looking for a new Exchequer, as Mistress Philadelphia’s turn ends in June. This position is not as difficult as you may think. There are spreadsheets and other tools available to make the job go smoothly.

To the People of Bhakail, its Friends, and Allies;

May this message find you all well, and in good health, and your detractors eating moldy flan, like a duck in Jerez.

This last month has been the Quiet before the Storm that is our Yule Event, here in Bhakail. I want you all to know these efforts are worth your time. These efforts will reward you, and your fellow Bhakailis, and The East Kingdom.

When you attend Yule, it will be a worthwhile event. We have spent so long apart, that gaining one another’s’ company once again will be rewarding in, and of, itself.

I wanted to take this moment, here in November, to thank you all for the work you are doing to make this event happen.

Seeing Yule come together, I’m proud of my People and my Barony.

Seneschal’s Report – Honorable Lady Alesia de Maris of Ravenstar

Greetings!

The BOD has given more guidance regarding the checking of vaccination status. It is recommended that the list of participants be split in two alphabetically by legal last name and that two people check vaccination status. This new recommendation goes into effect on Monday November 15th. We will be using this process at Yule.

The German Society has an opening in their calendar so planning for Tavern is underway.

Hello to the Barony from the world of Social Media!

There were eight new subscribers to the Bhakail FB page this month. Several of them were new to the Barony and Lady Chana as Chatelaine has been put in touch with them. Minutes from last month were posted to the web when they were received. Various notices from the Kingdom and Society have been shared to FB and email.  Information on the winners of Crown Tourney this past weekend – Prince Ryou and Princess Indrakshi – was shared to FB and the email list, as were photos from the Tourney.  A new Kingdom Social Media Officer has been appointed – Lady Astrid Eiriksdottir. And that’s about all for this month.

New business

  • Yule Largess Basket – Lady Roseia Posey is coordinating a largess basket for their Majesties at Yule. Anyone wishing to contribute items, please contact Roseia.
  • New Chronicler sought – Chronicler is stepping down in February 2022, looking for a successor.

Old Business

  • Shire Wars – There was a mistake when the event surplus was divided up. 20% was allocated to the Kingdom but that new rule goes into effect in 2022 so there is a surplus of $145.71. The groups need to decide if this is to be divided between the groups (an additional $18.21 to the $485.35 (initial investment plus a share of the surplus of $582.82, $72.85 per group)).
  • Yule – Still waiting to hear back on spaces from their majesties. Reservations have been put on hold until we hear from them. Don’t know if their Highnesses will be attending. Anyone who refuses to wear a mask will be asked to leave.
  • PAX – Still a thing that’s happening. Dayna ordered the banner and table runners last week, should be delivered next week.
  • Tavern – The German Society has reserved the last Saturday in January for Tavern at the same price as in the past. The bid should be submitted this week.
  • New Exchequer sought – The Exchequer is looking for a deputy or a successor. Her term is up in June 2022.

Greetings,

The ban on outdoor events expires on May 31st but there are many things to consider. If you are considering a bid for an outdoor event, please contact me so we can discuss the regulations.

At the May meeting the Barony voted to go in on a bid for Crown Tourney with Hartshorndale. If this bid is approved we will be looking for volunteers to help as event staff. This will be strictly voluntary, if you don’t feel comfortable attending events yet don’t feel that you need to work the event. I don’t want anyone putting themselves in a situation where they don’t feel safe.

Lastly, I encourage everyone to check out the Pennsic website. There is information regarding Cooper’s Lake that you should be aware of.

New Business

  • Voting – Officers of Bhakail are permitted to vote regardless of where they live.
  • Crown Tourney bid – Alesia attended the May meeting in Hartshorn-dale and they voted to submit their bid. They have thought very hard about this and they have a lot of ideas. If they win the bid we will discuss the event in greater detail.
  • EK Seneschal’s Meeting – Alesia attended a meeting with the East Kingdom Seneschal. These are her notes.
  • All events at this time must be approved by the Seneschal and the Southern region deputy seneschal.
  • Safety – Sites can require participants to be vaccinated. If a site requests this we will need to contact kingdom to get clarification on how that information will be collected and provided to the site.
  • Homeowners or landowners where practices take place can require participants be vaccinated but they are responsible for verifying this.
  • Sanitation and safety supplies should be a line item in the budget.
  • Kingdom has supplied a simple sign with the regulations. This will need to be posted in numerous locations.
  • Event staff – Event staff should wear something that clearly defines them as staff. Seneschals and officers will need to enforce the rules. If we are not comfortable with that we shouldn’t hold an event. (Event staff refer any infraction of the rules to the seneschal, event steward or baronial officer. They are responsible for handling the infractions.)
  • Can provide bottled water and pre-packaged snacks – cannot provide any prepared food or lunch boxes prepared by event staff
  • Ideally people would be social distancing in individual pods. There is no definition of the number of people in a pod but larger groups, 15 and above, would be suspect. The suggested rule of thumb is the number of people in one or two vehicles.
  • Keep the number of activities down and the day short.
  • Social Media – Kingdom recommends having a public page with announcements and a private discussion group.

  • Exchequer – Still looking for a deputy or a successor.
  • Bhakail Anniversary – The historian has been getting stories and information and is putting it together.
  • Pennsic – Pennsic has officially been postponed for another year. The Kingdom seneschal recommends that everyone should check out the Pennsic website.
  • Shire Wars – Alesia checked the East Kingdom calendar, and they are having an event. There will be more details coming and when they have more information, they will contact her.
  • Yule – Kingdom has not yet approved indoor events.

 


April 2021 Business Meeting Minutes

To the People of Bhakail, its Friends, it’s Allies, and that odd person standing behind you, offering you odd things from the larder to sniff;

Let us not, dearest Bhakail, forget our dear friends the Northern Dual Flanged Peryton… flipping glorious flying murderous featherbags. Pen them up together, and they will devour each other without a second thought… it’s Our nature, is it not? Ooor… avian-ungulate nature… So yes… We continue safely behind Our ramparts, watching as some neighbors thrive. Some neighbors wallow, and sway upon rolling waves like an over burdened and poorly made coracle. Some few even slumbering like beetle larvae, awaiting a plague free time to emerge, to begin pushing about a great, shining cowpat anew!!

We of this Barony continue to hold up here, well-provisioned and well-armed, bettering ourselves with Arts, Crafts, and Sciences most potent, month after month! Some even garnering great fame and Awards!

Which seems lovely to me any way you slice it!

Or… ahh… as some less-learned jackenapes, who may be want to boink wagon hubs when left to their own… devices… so naively suggests, we can release the ravening deer-rapter hybrids of outrageous metaphorical disposition, and we can pray that they will be merciful… I rather doubt it.

Can we, in fact, pretend that they are anything other than a herd of peryton scorned, like which fury Hell hath no…of…?

We cannot.

Res ipsa loquitur, tabula in naufragio, we are left with but one option… We must continue in our safely held paths, allowing for those with better intentions in mind to become inoculated, then thus slowly and securely beginning to step only tentatively from out behind Our Ramparts to meet in person once again.

Seneschal’s Report – Honorable Lady Alesia de Maris of Ravenstar

Thank you to everyone who came out to help with cleaning up the thrown weapons/archery site, it went really well. The Kingdom is starting to allow outdoor practices, with the good weather coming I encourage everyone to go outside and enjoy some sunshine.

The ban on outdoor events expires on May 31st and many of us are looking forward to attending events in person again. This is very exciting but please take care to follow all of the kingdom guidelines and attend outdoor events safely.

Five new people have joined the FB group. Several of them are new to the Barony and have been directed to the Chatelaine.

Information continues to be cross-posted from the email list and the FB group and back.

Also, we’ve made a permanent change to our Facebook group. Based on input from the Baron and Baronial Seneschal, as well as guidance from the Society Social Media Officer passed through to the Kingdom SMO, and after posting the proposed change on our page for comments from Barony members, we have moved the Facebook group from Public to Private, though still marked “Visible” so it can be found. This is due to changes FB is making to public groups.

From the Kingdom Social Media Officer – “One key ‘feature’ is that individuals are able to join public groups and view posts without having to wait for administrator approval, which becomes an issue when attempting to keep individuals who have been banished or TRP’ed from the society from monitoring activity on our official groups.”

From the Eastern Internal Letter of Intent (ILoI) – This letter includes all new names and devices that have been submitted to the Eastern College of Heralds in the last month. It takes about two months for items to reach the next stage, the Eastern Letter of Decision.

  • March 2021:
    While I am pleased to report that the monthly letter has seen a sharp increase in activity, I did not see any names or items that I recognized as belonging to members of the Barony.

From the Eastern Letter of Decision (LoD) – This letter reports what items will be forwarded to Laurel to be decided on and what will be returned to the submitter for more work. It takes about six more months for submissions to reach the next stage, the Laurel Letter of Acceptances and Returns.

  • March 2021:
    No letter appears to have been posted.

From the Laurel Letter of Acceptances and Returns (LoAR) – This letter says what items have been accepted by SCA’s College of Arms and what has been returned to the submitter unregistered.

  • February 2021:
    I did not see any names or items that I recognized as belonging to members of the Barony, but send a hearty congratulations to our neighbors in Hartshorn-dale on the acceptance of their new badge ((Fieldless) A heartsease azure seeded within and conjoined to a mascle Or).

Pennsic Campmaster – Lady Chana Freidl the Maker

As the latest update from the Mayor says, no major changes have been announced – planning still continues as it needs to. However, since the EK’s recent re-opening guidelines have been released, they shine a bit of light on Pennsic. Currently the guidelines prohibit gatherings of over 150 people, and also camping events, but please keep in mind these rules are only for our kingdom and Aethlemarc may create different ones or apply for a variance in order to hold Pennsic.

Another point of interest is the note that the SCA will NOT REQUIRE proof of vaccination status to enter an event, meaning an event like Pennsic will almost definitely have both vaccinated and unvaccinated people in attendance. Please use this information to make your own informed decision about whether or not you plan on attending any event. Please keep your camp masters informed as you make a final decision for you and/or your family, so we can keep our information updated as well.

New Business

  • Crown Tourney bid – Hartshorn Dale is putting in a Crown Tourney bid and has asked for the Barony’s help. They are only asking for manpower as they are covering the cost of the event themselves, but wish to include their neighbors in the endeavor to promote cooperation between the two groups. The date is July 17th, 2021, and the event will be pre-registration only. The Barony has agreed to be a co-sponsor and are seeking volunteers to help out where needed. Anyone wishing to volunteer should contact Lady Millisent de Harthewaite at smagcoll@yahoo.com.
  • New Webminister – The webminister’s term is up and our current webminister has not indicated his intention to continue in his post. Mael Eoin has agreed to step up to assume the position. He has indicated that if anyone else wishes to assume the position, please let him and the seneschal know, and he will step down from the position and give the new web minister any support they might need in getting settled in.
  • Deputy Herald – Our Herald is looking for a deputy.
  • Deputies for Baronial Officers – It was suggested that all officers who currently do not have a deputy, should consider seeking one. Currently the only position with a deputy is the MOAS. If anyone is interested in becoming a deputy for any of the other offices, please let the officer and the seneschal know.

Old Business

  • Deputy Exchequer – The Exchequer is looking for a successor or a deputy interested in learning the position. Mistress Philadelphia’s term as Exchequer is not due to expire until 2022 but she is looking for someone interested in learning the position with the intent to take over when her term ends. If you have any questions regarding the duties of the Exchequer please contact Mistress Philadelphia at exchequer@bhakail.eastkingdom.org.
  • Commons and Champions – Lady Triona MacCasky stepped up to be the steward for the event. The event date is August 29th, 2021, and we are tentatively planning on holding our heavy weapons and rapier championships at the event, provided we are able to do so. Traditionally this has been a potluck event, but due to the rules set forth by the BoD, this year will be a “bring your own picnic” event, as we are currently not allowed to share food at events. If anything changes between now and then, an update will be published in either the newsletter, or through our other social media outlets, should the announcement fall between newsletters.
  • Yule – Lady Maryna has indicated that she was still willing to be the event steward, assuming we will be allowed to host indoor events by December. In the meantime, she is still moving forward with planning and is seeking volunteers for various positions. Lady Triona has agreed to be the head cook for the feast, and Lord Ian Douglas has agreed to be the dayboard cook. Both are also looking for help in the kitchens.
