Seneschal’s Report – Honorable Lady Alesia de Maris of Ravenstar
Greetings,
The ban on outdoor events expires on May 31st but there are many things to consider. If you are considering a bid for an outdoor event, please contact me so we can discuss the regulations.
At the May meeting the Barony voted to go in on a bid for Crown Tourney with Hartshorndale. If this bid is approved we will be looking for volunteers to help as event staff. This will be strictly voluntary, if you don’t feel comfortable attending events yet don’t feel that you need to work the event. I don’t want anyone putting themselves in a situation where they don’t feel safe.
Lastly, I encourage everyone to check out the Pennsic website. There is information regarding Cooper’s Lake that you should be aware of.

Philadelphia heavy practice has resumed, and is being held on Thursdays, 7pm, at the Riverview Plaza Parking lot. Parking is free, and the location is protected from rain. Masking and signing in for contact tracing are mandatory. I have nothing new to report for May. Still planning to help with Shire Wars and if Hartshorn-dale get the bid for Crown. John Patrick and I will be glad and honored to help with the event.

Webminister’s Report – Máistir Mael Eoin mac Echuidh
Greetings!
I am unable to attend this month’s meeting but will try and free Tuesdays going forward, but I am honored to be assuming this role for the Barony.
I have transferred over the office email, fixed some other officer email and Google Drive assignments, and have started talking to a possible deputy about the role. I am looking forward to suggesting improvements or refreshes for the website, and if anyone has any issues or questions around email, the website, or other Kingdom IT services etc., please let me know!

New Business
- Voting – Officers of Bhakail are permitted to vote regardless of where they live.
- Crown Tourney bid – Alesia attended the May meeting in Hartshorn-dale and they voted to submit their bid. They have thought very hard about this and they have a lot of ideas. If they win the bid we will discuss the event in greater detail.
- EK Seneschal’s Meeting – Alesia attended a meeting with the East Kingdom Seneschal. These are her notes.
- All events at this time must be approved by the Seneschal and the Southern region deputy seneschal.
- Safety – Sites can require participants to be vaccinated. If a site requests this we will need to contact kingdom to get clarification on how that information will be collected and provided to the site.
- Homeowners or landowners where practices take place can require participants be vaccinated but they are responsible for verifying this.
- Sanitation and safety supplies should be a line item in the budget.
- Kingdom has supplied a simple sign with the regulations. This will need to be posted in numerous locations.
- Event staff – Event staff should wear something that clearly defines them as staff. Seneschals and officers will need to enforce the rules. If we are not comfortable with that we shouldn’t hold an event. (Event staff refer any infraction of the rules to the seneschal, event steward or baronial officer. They are responsible for handling the infractions.)
- Can provide bottled water and pre-packaged snacks – cannot provide any prepared food or lunch boxes prepared by event staff
- Ideally people would be social distancing in individual pods. There is no definition of the number of people in a pod but larger groups, 15 and above, would be suspect. The suggested rule of thumb is the number of people in one or two vehicles.
- Keep the number of activities down and the day short.
- Social Media – Kingdom recommends having a public page with announcements and a private discussion group.
Old Business
- Exchequer – Still looking for a deputy or a successor.
- Bhakail Anniversary – The historian has been getting stories and information and is putting it together.
- Pennsic – Pennsic has officially been postponed for another year. The Kingdom seneschal recommends that everyone should check out the Pennsic website.
- Shire Wars – Alesia checked the East Kingdom calendar, and they are having an event. There will be more details coming and when they have more information, they will contact her.
- Yule – Kingdom has not yet approved indoor events.
